An expert pool is a gathering of 15-20 people who share experiences on a specific topic. We eat together, talk, and do interactive assignments. It's a great way to turn real experiences into change: everyone is heard, regardless of background or language. What you share helps municipalities and ministries develop better policies that truly reflect reality. You will be appreciated for your contribution and see how your story makes a difference—for yourself and for others.

What is an expert pool?
Why are you doing this?
At OpenEmbassy , we OpenEmbassy that nothing should be decided about people without involving them. When a municipality or ministry asks us to conduct research into the experiences of newcomers, we always involve the real experts—you—to better understand what is important for good policy.
I have participated in conversations before. What is different here?
An expert pool is not just about talking—your input really helps to change policy. Municipalities and ministries use what you share to make decisions. Everyone is welcome: it doesn't matter where you come from, what your education is, or what your background is. The group is deliberately diverse.
What is the difference with an interview?
You will participate in more than one session. Between the first and second meetings, you can also contribute to the research yourself, for example by interviewing others.
Can you give an example?
In Almere, a pool of experts helped set up an advisory group. This group now meets with the municipality every month to discuss what is important to their community.
What happens after the expert pool?
Researchers at OpenEmbassy the information, write a report, and make recommendations to the client (e.g., municipality or ministry). Sometimes participants are invited to share their ideas directly or to participate in follow-up meetings.
What happens to the results?
Everything is compiled in a report and shared with the client. This allows policy to better align with what newcomers really need.
OpenEmbassy municipalities
Who is OpenEmbassy?
We are an independent organization that conducts research into how newcomers live in the Netherlands. We want to contribute to a fair society. About half of our team has a migration background themselves, so we understand what participants are going through.
Is the municipality or COA aware of this project?
Yes. Usually, one of them is the client. We always discuss the project goals together first. Afterward, we share the results anonymously.
Is anyone from the municipality present?
No. Only independent OpenEmbassy facilitators: researchers, hosts, co-hosts, and cultural mediators. Sometimes someone from the municipality will drop by during dinner, but this is always discussed in advance.
What is your relationship with municipalities?
Municipalities or ministries ask us to conduct independent research among newcomers so that policy can be improved.
Security and confidentiality
How is my information protected?
Everything you share is processed anonymously. No recordings are made, only handwritten notes. In the report, we use names such as "Person 1." Only the core team has access to the data.
Is the session being recorded or filmed?
No. Only notes are taken. Sometimes we take a group photo at the end, but only with permission.
May I participate anonymously?
Yes. You may also use a different name. It's about your experience, not your identity.
Will I be contacted later?
Only if you give your consent.
Language and accessibility
I don't speak Dutch or English. Can I participate?
Yes, definitely. Each group has a cultural mediator who speaks your language. We will give you a quick call beforehand to find out what you would prefer.
Can I participate if I am unable to be physically present?
Yes, sometimes you can contribute in writing or through a short conversation. The compensation depends on the budget.
Participants and practical matters
Who else is participating?
There are 15–20 participants with similar experiences. The session is facilitated by a host, co-host, note-takers, and cultural mediators.
Where and when is the session?
After confirmation, you will be added to a WhatsApp group. There you will receive all the information about time and location.
Only participants in the group will receive compensation.
Emotional security and support
May I also share something negative?
Yes, of course. You can share anything: positive, negative, or neutral. Everything will be processed anonymously.
What if something painful comes up?
Our team is trained to handle this. We take the time and offer support when needed.
Results and impact of policy
What happens to what I share?
Everything is summarized in a report that is sent to the client, for example, the municipality.
Will I be able to see the results?
The WhatsApp group will remain open. We will keep you informed.
Are the results being translated?
Reports are in Dutch, but if they are public, you can find them on our website.
Motivation and value
Why am I getting paid?
Because your time and knowledge are valuable. You contribute to policies that truly impact people.
What do I get for participating?
A VVV gift card worth €50–€75 (depending on the session) and a meal together.
Will I receive a certificate?
No, but we can provide a brief reference for LinkedIn.
Where can I use the VVV card?
At many stores in the Netherlands (see the VVV website).
Why is my participation important?
Because your voice helps improve policy and support others.
